POS: How to process a sale || Shopify Help Center

the all-new Shopify POS streamlines the checkout process, making it easier than ever to make a sale in your retail store or your pop-up event. by using an improved search function, barcode scanning or the new smart grid, your checkout becomes a fluid and custom experience. hey, everyone is to tango with Shopify. today we're showing you the framework you need to process a basic sale in Shopify POS. this includes adding products to the cart, accessing customer information, adding discount codes, as well as taking payments and issuing receipts. processing the sale is the primary function of any point-of-sale system, and the all new Shopify POS makes this process as simple as possible. let's begin by adding products to the cart to sell. the basic way to access your product is to use the global search bar in the top left of the screen. type in your search terms, whether it's the product, variant, vendor name or any relevant identifying information, and you will see a list of products that match your search. the new global search also shows any related orders or customers in the other tabs. tapping on the item opens a list of product variants from here. tapping the product again adds that product to the cart. if you tap view details, you see additional information about that product, including its price, inventory, quantities, description and other organizational information. from this screen, you can also tap the Add to Cart button to add this product to the cart. if your products have barcodes attached to them, you can add these products to the cart by scanning the barcode using the 1d or 2d Bluetooth barcode scanners available in the Shopify hardware store or by using the POS device camera. tap the barcode icon in the search bar at the top of the home screen to launch the camera. then point the camera at the barcode to scan the product. once you've scanned the product, the item displays along the bottom of the screen. you can tap the view details for more product information or you can tap Add to Cart to add the product to the cart. now that you've added a product or two, you can add a customer. adding a customer isn't required, but if you do, the order can give you a better and standing of how your customers interact with your store. this can help you take advantage of marketing opportunities in the future. to add a customer to the car, use the add customer smart grid tile or tap more actions and then tap Add customer. from here, search for any existing customers in the search bar or tap new customer to add new customer details. when you search for a customer, your previous customers with information relevant to your search terms are displayed in a list below. once you find the customer you're looking for, tap on their name to add them to the cart. you can also tap on view details to see more information about them, like their order history, contact information, customer tags or any additional notes. from here, tap Add to Cart to add this customer to the cart. if you're creating a new customer, the first name of the customer is a required field, but it's also helpful to ask for their email address or phone number as well. there are also fields for company address or additional notes if you want to remember these details about your customer back on the home screen. there are two different ways to add discounts to the cart. the first is for specific item in the cart, which is called a line item discount, or you can add a discount to the entire cart. to issue a discount to an individual line item, tap the item in the cart that you'd like to discount. then tap applied discount. there are three options for what kind of discount you wish to offer: either a dollar amount, a percentage amount or a price override. the price override button allows you to quickly set a new price that you would like to offer for the customer. for example, if a product price is $25 but you'd like to change the price to 15, you can simply type in the new price in the override section. another option is to apply a discount to all line items in the cart at the same time. for this example, we have two items in the cart and we want to apply a discount to the subtotal. tap more actions in the top right corner and then tap add discount. three discount options are dollar amount, percentage amount or discount code. a discount code is either a preset percentage or dollar discount that you create in the discount section of the Shopify admin. these can be used by customers both online and in-store. to learn how to create discount codes, watch the video linked above. after you've added the products, customer information or discount codes, it's time to begin the checkout process. tap the checkout button in the bottom right corner of the screen. you're now presented with all the payment types that you've previously enabled in Shopify POS, including cash, gift card, Shopify payments or any custom payment types you've added. tap a payment type to begin the payment process. in this example, we're selecting cash and have the option to choose between suggested cash amounts or to type in another amount. selecting one of the suggested cash options automatikally completes the checkout and displays the change due from the cash. once the checkout is complete, you'll see your receipt options. email and text receipts are always displayed or, if you have a receipt printer connected to your Shopify POS, you also see options for printed or gift receipts. after your transaction is complete, tap done, the transaction is now complete and you'll be taken back to the home screen. that's it. you've now learned how to complete a basic checkout, including adding customer information and discounts to the cart. if you'd to stik around until the very end where we'll tie it all together for one of the most important elements: how to choose the right pos for you and your business. but first i just want to welcome you to learn with shopify, where we aim to arm you with the knowledge, skills and tips to succeed in all things business. and when it comes to doing business, especially if you have a physical store or are a traveling business like a food truck or a residential gardener, a point of sale system is an absolute must. consider subscribing and hitting that bell so that you will be notified the moment new videos just like this one drop: [Music]. but what exactly are the components of an entire point of sale system? at the base level, there are the hardware components and the software components. when it comes to hardware, we can go super bare bones with just a smartphone as well as a card reader to process debit, credit and gift cards, but depending on the type of business that you're doing, you may want a dedicated tablet if, for example, you have product images on your tablet that you can use to show customers your goods. from this more bare bone setup, your business may require additional hardware like an integrated cash drawer that unlocks and opens during transactions if you accept cash payments. a barcode scanner if you have a lot of different products that you're selling and just with your inventory management system, communicating with your bank and the payment cards your customers use to pay, communicating with your crm if you offer a loyalty program, and so much more. the software and its features become even more mission critikal if you have multiple physical locations and multiple additional channels, like an online store, selling across social platforms and setting up pop-up shops at events or trade shows. essentially, pos software that connects with your online store helps you run your entire business end to end in one single point of truth. if you want to sell in person, a point of sale system is a must and, best of all, when your online store and in-person retail operations tok to each other seamlessly and in real time, it makes managing and growing your business infinitely more straightforward. now that we know about the hardware side and the software side of pos in general, and also know that anyone who intends on selling in person needs one, let's really explore the most important considerations when choosing which pos system to go with. you heard me mention this term already, but let's kick things off with the concept of a single point of pos, you want to think about a system that you that can help you a lot if you already have a shopify online store or if you're using them for for your boutique, okay. so you have a powerful pos software. you have customizable pos terminal. you have fully integrated hardware. what we love with the shopify pos is that you have advanced inventory management. also, you have custom staff permission. in other words, you can set permissions to control step access in the pos system so you can actually delegate with peace of mind and you have unified reporting in terms of analytiks. shopify is really great at that and they have done a great job in terms of having a very user-friendly dashboard. you see clarity and granularity in terms of reporting. okay, you have a single back office and, uh, their app is also very powerful. so the the, the app is a highly rated in terms of the shopify pos app and you have fully integrated hard work- i really want to specify that because people, uh, have been asking questions about that- and so you can connect shopify's card readers to accept popular payments with low rates and quick payouts, and you want to pay. when we tok about the most important features with shopify pos, we have omni channel selling. this is important, so you are able to offer, let's say, a very effective shopping experience for your customers, and this could be online, in store and everywhere in between. okay, it can be offline, could be anywhere. you have local pickup. you can buy and store, ship to customer. you can buy online, exchange and return in store. you have local delivery. you have product qr code. you can send card to buy online. so the constellation of choices is unlimited. and you also have smart inventory management that allows you to reduce errors and increase profit from a single place, using smart recommendations from stacky app by shopify. this is kind of cool. also, everything from purchase orders to uh inventory tracking is in there. you have staff management. you can control permissions and track staff performance from one place. okay, so you have a pos, uh, staff roles, step us pins, all of that. you also have the checkouts. this is really important. you are able to complete each sale with a seamless experience for customers and staff, and this is what you want. you want to have this sort of experience in place to save money, but also make sure that you are ahead in the game in terms of competitiveness. and shopify pos also allows you to take care of taxes, so your taxes are automatikally calculated based on your storage set location in terms of products. you also have a great advantage with a shopify pos because you are able- the system, the hardware and the software for that matter- help you stay organized and spend less time on admin chores. this is what you want. you really want to have time for other stuff, not just to do admin stuff. so you had you're able to have clarity on unlimited products, product collections, product variants, inventory status, multi location inventory and barcode labels. it's really good. and when it comes to customers, this pos helps you a lot because you are able to turn one-time shoppers into lifelong fans. the whole idea here is, uh, customer attrition or, if you want to, if you want to put it more positively, customer loyalty, and that's what you adapt your offer to what's going on in the market. you have a connectivity screens, you have a shopify hardware warranty, you have a compatible hardware accessories- okay- and you also have shopify payments. with the pos, you can take advantage of seamless payment features, including all shopify plans, and you can also take additional payments. you can accept popular payments method, so you really never miss a sale. it's all about giving you- or giving you all the- the flexibility that you need as a store owner to make money. everything from email marketing to uh social media integration, to customer payment types, to split payment tender, to split payments and tenders. all of this is in the software, another hardware also and uh overall. with the pos hardware from person, online, over the phone or out in the field. it's free to use and there's no training required. okay, you can add a synth online store, no coding required. you can sell through instagram and facebook with a tab. you can offer curbside pickup, local delivery and shipping. you can manage your entire business from one place. this is what we love with uh square pos. you have the centrality. you have this flexibility, okay, and you can add the tools you need for your next step, really okay. you can accept payments, take payments, schedule, manage and pay team members. with team management. you can sell at the counter on the goal, online, the quote, the goal is you never miss a sale, so that's for the score point of sale. you also have score for restaurants, so this is actually a pos that helps you what that's built to streamline and speed up your restaurant operation from from a front of house and back of house to pickup and delivery. so they are offering you the whole the, the, the whole nine yards, so you are able to have quick service, full service, fast, casual bar and breweries, if that's what you want. ghost kitchen: okay, you're able to see how things work or very fast, and we love the fact that you can do a lot of things. you can manage all your kitchen orders in one place, no matter how they're placed. you can write items to partikular stations and add as many stations as you need. okay, you can take orders on your free online ordering page and have them deliver it without commission. this is really good. and you also have score appointments. so you have score for restaurant, score, point of sale and you have square appointments. this is basically a system, a platform, if you will, that allows you to actually manage your hi there, my name is bridget hodge. i am one of fit small businesses retail experts and today we're going to be taking a look at shopify's point of sale software. so we're going to be taking a look at the setup process, the point of sale features, as well as some of the other features that come along with your shopify subscription. so let's get started. so i've gone ahead and i've signed up for shopify. one thing you should note about shopify as a compared to other point of sale software's like square or lightspeed, is that in order to access shopify's point of sale software, you have to sign up for one of their e-commerce plans. those plans range from nine dollars to 299 dollars per month, depending on the size of your business and what you need from the plan. but only through those e-commerce plans will you get spot shopify point of sale from there. you also have two plan options within your point of sale. you can get the light option, which is free with any uh shopify plan, or you can get the pro option, which is eighty nine dollars per month per location, on top of your ecommerce plan. uh, the main difference between those two plans is the pro plan will have a couple more um analytiks, features and um. it also allows for a couple more checkout features, all of which is enumerated in our shopify point of sale review. but moving on from that um here, once you have a signed up for your shopify account, you will be brought to your home page where you will be prompted through a bunch of setup guides, so you will have a how to start your shipping video as well. there's a whole library of videos that you may access and that come up on the screen as you move through your setup process. so the first thing that you will be prompted to do is add a product. this will go into your inventory library and these products um. when you go to add a product, the product page has a ton of useful information. um, where you can include the title, a description. you can have um media. you can tell what sales channels it's going to be. a part of sales channels is something we'll get into later. you include include its price, it's barcode, its unit price from the manufacturer, supplier, um. this will help you keep track of your margin and your profits as you sell through things. and then all sorts of shipping information, including weight, where it's from, where it could be going, uh, things along those lines. so then, with uh and it, you'll be prompted through all of these setup guides. not a ton of these are pertinent to the point of sale system. they are more pertinent to setting up your shopify online store, which we also have a ton of information on on the fit small business website. so we're going to take a little look at some of the features that are accessible to you once you are a shopify customer. so, over here you have all of your most important categories, things that you need to access at a glance, so you'll have your orders, where this will keep track of all of your online orders, um, so you can manage them right here from your dashboard. you'll have your inventory library, which is going to be tracking inventory across your sales channels, across different uh sales platforms, and then- this is a very helpful thing- you have your customer library. this, again, is going to be synced across your online, in-person and other sales channels. all of your customer data will be stored right here, um, and additionally with, if you do use a shopify website, every time a customer enters their information on a shopify website, they will be added to your customer library. in addition to your customer library, you will also have your finances, where you can look at your sales, your gross profit margin, your earnings, your spendings. all of this will be tracked here, live with your sales, between all of your sales channels, so you can get a live overview of your finances at any point um there's, you can take a look at your balances, your billing, your payouts. all of that will be tracked right here, which makes accounting so much easier. and then another important thing that's um a huge deal with point of sale systems is your analytiks and reporting capabilities, which shopify has a very comprehensive analytiks and reporting. so not only do you have your finances that are going to be tracked, so you can keep your own personal um accounts in line. this is a ton of analytiks about your store performance, so you'll have your total sales, your online store sessions, as well as a bunch of other reports that you can add to your main analytiks dashboard. in addition, with the shopify shopify plan, you will be sent daily reports about your doors, your daily performance in your store, so all of this is built in automatikally to all of these shopify accounts. then, if you have any marketing initiatives, there's also a place to track that here, um whether you are wanting to tracking them on apps or if you have a marketing software that you're running, you can track had their performance here, which is great if you're trying to assess their effectiveness and how they're working with your customer base. um, and then, another great thing about shopify is they make it extremely easy to give promotions and manage those promotions and discounts, both in your online store and in in-person checkout, which we will look at in just a moment. um. here you will also have all of your apps right accessible on your dashboard. so that could be, if you have a loyalty app, if you have a um, a marketing app of any kind, if you have downloaded something to your point of sale system and it is performing in your store, you can track it here and access it here. um, from there we'll just return to the home screen real quick. another great thing about shopify that we have highlighted throughout our artikle about shopify and that really makes it stand out as a point of sale competitor, is how seamlessly it can sync your omnichannel sales channels, um, and what i mean by that is from your inventory to your analytiks, to your point of sale systems home page, to track and maintain your online store, your instagram shop. your in-person store is absolutely seamless with shopify. so let's take a look at those sales channels. so obviously, you'll have your online store, which you will design and set up and begin selling. this comes with all shopify accounts, um, unless you choose the shopify lite plan, in which case you can add the shopify buy button to a third party website and that buy button will sync with your um point of sale and shopify account in general, all the analytiks and all the sales from that buy button. um, speaking of the buy button, here's where you can track that sales channel, where you can. this- and this again is a button that says buy that you can incorporate into third-party websites. so this is shopify's way of saying you can use our product and use all of the tools we have on a different platform. you don't have to have a shopify website, and the light plan, where you just get the buy button, is 9.99 a month and also comes with point of sale light. so then, if you have a google store, if you have a facebook shop, all of those can be tracked right in your sales channels, but the one that we're going to really take a deep dive in right now is the point of sale sales channel. so this is for all of your brick and mortar sales. there is a corresponding app. this is a recommended that you use this on a tablet device. so there's a corresponding app that has the actual um place where you can scan your barcodes and perform transactions. but then here on your dashboard is where you can manage your point of sale system, and by that i mean so you have your overview here. this will help you get things set up um and get you selling within this app. but the features that we'll be taking a look at is you can add your staff members, give them a status, and that status has specific controls, things that they can access. so let's say i am signing up a new person and adding a new staff member. they will have an individual pin that they can log into to perf to use our point of sale s.

all right. so let's have a look at these plans. what actually is Shopify offering us? now to get to the plan? it's not gonna be that difficult because, as you've seen the entire time, we've got to select a plan in our face. you know no mistake there. so all you got to do is click on the select a plan button and here we go. so what I'm going to do is I'm just gonna put it all into one page, so I hope you can see that nice and clearly. now what we have is the twenty nine a month plan, the seventy nine a month plan and the two hundred and ninety-ninth a month plan. now, these different plans are going to reflect your situation or, potentially, your customers situation. all right, so obviously your eye is drawn immediately to the price, but there is a little bit more to it than that, okay. so first of all, the transaction fees. that's a two percent transaction fee, okay here. on the 29 month plan, one percent on the 79th minute plan, add half percent on the the two nine nine plan. okay. now, if you do the math, basically, on this one here, if you're making over five thousand a month in sales, which is, you know, a very modest store, then you'd be better off with a seventy, nine month plan, because you get to save on the transaction fees. equally, as you go forward to this three hundred. you know, as you get bigger and bigger, the transaction fees are going to get less and less. just in case you're wondering, the transaction fee is the fee that you are going to pay Shopify. all right, you may have other fees- I toked about Shopify payments before- but basically you may have other fees you're gonna have to pay, say, PayPal, for example- but these are the fees that you are going to pay Shopify, all right. now the second thing to look at is staff accounts, and these are accounts that you know, let's say, individual logins for people. so if you're again, if you're a small business just starting out to staff accounts- in other words, you and somebody else- it's probably going to be fine. but if you're running a big business, then you can need an awful lot more, and here we got 15, all right. a next thing to think about is the shipping discount, and this relates to buying and printing shipping labels. okay, as you can see when we hover over the information bubble there. now, if you're doing drop shipping, for example, and you're not involved with shipping labels, then this is not going to be relevant. but if you're running your own store selling your own products, then this may be relevant, and so Shopify gives you an increased discount on your buying and printing of shipping labels as you go towards the more important plans. now the last thing is - I just want to draw your attention to the text here- okay, in each one of these things. so this one is like: just start selling your products on on your secure and beautiful online store. okay, fair enough. this one toks about getting more sales with features like gift cards, professional reports, fraud analysis tools and abandoned cart recovery. now, in my opinion, this one is the most important: the abandoned cart recovery. okay, because two-thirds of people, believe it or not, when it gets the checkout, will leave without actually paying, and abandon cart recovery is a massive part of e-commerce. now this cut Bandon cart recovery system built into it. okay, but that doesn't mean that on this cheaper plan, that you can't install an abandoned cart recovery app. okay, we're going to tok about apps shortly, but basically as an add-on afterwards once, if you buy this twenty nine plan, you can still get an abandoned cart recovery now. also, in my experience, it's very difficult to find a free abandoned cart recovery- or a good one at least- so there's gonna be an additional cost over here for abandoned cart recovery. so you know, arguably, by the time you've added in the abandoned cart recovery here, there's not much difference between, perhaps, these two plans. you also get the fraud analysis, which is quite nice. it's basically, you know, enables you to assess, prior to actually dispatching an order, whether this is potential fraud, which is obviously also a big deal in e-commerce. and getting gift cards and professional reports, which, in my opinion, yeah, okay, nice to have, but not necessarily essential. and then, as we move to the big one here, we've got an advance report builder and third-party calculating shipping and all kinds of stuff. yeah. so let's just step back from all of that just for a moment because, as I said right at the beginning, it depends so much on your situation. so my advice is that if you are a, a solopreneur, one-man band, right, let's say, and you're just getting started in e-commerce, I would go for this twenty nine month plan, alright. and if you're advising somebody who's also in that situation, I would go with the twenty nine month plan, okay. if you're somebody who is already got, let's say, quite a bit of experience in e-commerce, you know a lot about it. you know that this, your Shopify store, is going to be a success. you know pretty early on because you've got a ton of experience behind you. then I would go straight for the $79 plan, quite frankly, alright. and if you're clearly a big, well-established business, you're going to go over here to the two nine nine plan, alright. so those are your three options. now the other thing that you need to know is that all of these you can upgrade to and also downgrade from at any time. so let's tell you. so you take basic Shopify at 29 and then you think you know what I really want: a Bandhan cart recovery tool available in the 79 month plan. you can simply upgrade all the other way around. you buy this and then you think, no, no, it's too expensive. yeah, because I'm aware that $79 a month for a lot of people that can be a big deal. yeah, I'm fully aware of that. so you might think, well, that's too expensive, I'm going to downgrade so you can do all these things. yeah, it's a very, very nice, flexible system. so have a look at those, think about your situation or the customer you're advising their situation and choose one of the plans. now what I'm going to do is I'm going to go for the 79 month plan, alright, so I'm going to choose this plan and then you know, it's just a question of putting in your credit card details. now what I would say for the billing cycle, I don't really see any reason why you would go for anything but build me once a month for $79 again. this is- you're probably in a fluid situation, maybe just trying something out. things change so quickly you might wanna upgrade, downgrade, etc. that's really not much point in paying for, let's say, three years in advance. I don't think, even though it's an option. anyway, that's up to you. but anyway, go ahead and once you've got your plan, put your details in there and I'll see you on the other side once we've got that plan all set up.
