The biggest Shopify to QuickBooks integration mistakes and how to avoid them

- Veronica Wasser helps Shopify sellers set up, organize, and streamline their financial systems.

- In this video, she discusses the biggest mistakes that Shopify sellers make when integrating Shopify and QuickBooks Online, and how to avoid them.

Mistakes and How to Avoid Them:

1. Free and Cheap Must be Good:

- Don't make a purchase decision based on the fact that a product is free or cheap.

- You always get what you pay for.

- Avoid building your financial systems around something that is free, as you may not be able to afford it later.

- Consider the long-term costs of the product.

2. Integration Equals Automation:

- Integration will save you time and reduce manual tasks, but it does not eliminate doing your bookkeeping.

- There are many tasks that either you or a qualified bookkeeping professional need to perform on a regular basis to ensure that your books tell an accurate story of what's going on with your profits.

- Don't rely solely on automation.

3. All Apps are the Same:

- Shopify to QuickBooks Online integration apps are not the same.

- Consider whether an app has a good integration with QuickBooks, allowing you to customize the account mapping.

- Consider whether the app has a good tech support team.

4. The Dreaded Data Dump:

- Most apps will send detailed transactions to QuickBooks Online, causing a giant data dump.

- This clutters up your data, slows down your QuickBooks, and makes it nearly impossible to reconcile amounts sold to the amounts received from payment processors.

- Use integration apps that send summarized transactions to QuickBooks Online.

How to Avoid These Integration Mistakes:

- Use A2X, which is Veronica's favorite app for integrating Shopify and QuickBooks.

- A2X sends summarized transactions to QuickBooks Online, making it easy to reconcile to amounts received from payment processors.

- A2X has a great support team and even has accountants on staff who understand how the data should flow to QuickBooks Online correctly.

- A2X gives you an unlimited free trial and has pricing based on volume of sales as well as sales channels.

- Don't make these integration mistakes when integrating Shopify and QuickBooks Online.

- Use A2X to avoid these mistakes and make your bookkeeping process more streamlined and accurate.

Shopify Accounting | Everything You Need to Know

Shopify Details Journal Entry - May 2021 or whatever month you are summarizing. In the journal entry, you're going to break out the gross sales, discounts, and returns, and create line items for each of them. Then, you'll create another line item for shipping and sales tax, and a final line item for net sales. This will give you a much more accurate picture of your sales activity than the cash deposit method.

Next, you'll code the bank deposits to holding accounts. This means that instead of just coding everything to sales income like in the cash deposit method, you're going to create separate accounts for each type of activity. So, you'll create an account for gross sales, an account for discounts, an account for returns, an account for shipping and sales tax, and an account for net sales. Then, when you code the bank deposits, you'll code them to these holding accounts instead of sales income.

Finally, you'll plug the difference to payment processor fees. This means that when you reconcile your bank account, you may notice that the deposit amount doesn't match up exactly with the sum of your holding accounts. This is because payment processor fees have been deducted. So, you'll need to create a line item for payment processor fees and adjust the deposit amount accordingly.

- Common struggle for ecommerce clients

- Review of integration apps

Things to Consider:

- Reconciling Shopify sales and QuickBooks Online

- Complexities in integrating the two platforms

- Features to avoid: bringing over detailed transactions, not breaking out fees and deductions, no reconciliation of amounts received, bad account mapping, detailed inventory sync

- Features to look for: summarized totals, breaking out fees and deductions, reconciliation of amounts received, correct account mapping

Integration Apps:

- Both: automatic daily import, brings over full order details, syncs products into QuickBooks (not recommended for high volume sellers)

- 2x: good option, brings over summarized totals, syncs perfectly to the penny, reconciles Shopify payments, doesn't reconcile other payment processors

- Webgility: robust solution, connects multiple channels to QuickBooks, tax compliance, plans starting at $39/month

- Flow Link: even more robust, connects multiple apps, plans starting at $100/month

- Recommendation: 2x, discount code available in description box
